Accounts and contacts

The whole relationship, not just the last email.

An account holds the company, the people in it, every call and email, the deals, the decks, the proposals and the notes. It is the difference between a customer history and whatever the person who owned them happens to remember.

The problem

The customer history is in somebody’s inbox.

Which is fine until that person is on leave, or leaves.

What that costs

A rep leaves and takes it with them

Two years of context walks out of the door, and the person who picks the account up starts the relationship again from an introduction.

Nobody notices the silence

A good customer goes six months without a conversation and nothing anywhere flags it. You find out when the renewal does not happen.

Two people call the same company

Without one record and one owner, the same account gets called twice in a week by people who did not know about each other.

How it works

One record, and it remembers.

The account

The company, and the people inside it

Industry, size, revenue, location and website on the account; name, title, email, phone and role on each contact. Import what you have, or let Prospect Spark fill it in as you go.

  • Several contacts per account, with a primary one for documents
  • Custom fields for whatever your business actually tracks
  • A record limit of 30,000 on the cheapest plan, on the workspace rather than per seat

Every conversation attached to it

Calls, emails, meetings, notes, deals, decks and proposals all hang off the account. Open it six months later and the history is there, in order, whoever created it.

  • Activity history in one timeline rather than in four tools
  • Deals, open and closed, with what was won and what was lost
  • Decks and proposals sent, and whether they were opened

And coverage, which is the number nobody has

Activity coverage tells you what share of your accounts anyone has touched in a period. Overdue follow-ups tells you how much of the base has slipped. Neither is a feeling, and both are visible before a renewal goes wrong.

  • Health on each account, from activity and deal state rather than opinion
  • Accounts ranked by value, engagement and risk together
  • Territories and allocation when you want it split by rule instead of by hand

What you get

What sits on an account.

In accounts

Companies and contacts

One record per company, as many people inside it as it takes, with roles and a primary contact.

The full history

Every call, email, meeting, note, deal, deck and proposal, in one timeline.

Coverage and health

What share of the base has been touched, and which accounts have gone quiet.

Ownership

Who owns the account, set by hand or by a territory rule, so two people never call the same company.

Import and export

Bring accounts and contacts in from a CSV with ANI mapping your columns. Your data stays yours.

Custom fields

Track the thing your business actually cares about, without bending a standard field to fit.

Getting started

Bring the base you already have.

Four steps

  1. 10 minutes

    Import the accounts

Company, website, industry and a primary contact. ANI maps the columns for you.

  2. 10 minutes

    Set the owners

By hand while the list is short, or by territory rule once it is not.

  3. 2 minutes

    Look at coverage

The first time you see it is usually uncomfortable and always useful.

  4. Week one

    Work the quiet ones

Sort by overdue and start at the top. This is where the easiest revenue is.

Questions

Account questions, answered.

Can I import the accounts and contacts I already have?

Yes. Accounts import with an optional primary contact, and ANI maps your columns automatically, whether the file came from HubSpot, Pipedrive, Salesforce or a spreadsheet.

What is activity coverage?

The share of your accounts that anyone has logged an activity against in the period you are looking at. It is the quickest way to see whether the base is being worked or only the top of it.

How many records do I get?

Launch includes 30,000 records, Drive 75,000 and Command 195,000. The limit is on the workspace, so adding people does not use any of it. See the plan limits.

Can I control who sees which accounts?

Yes. Permissions are set by role, and what a rep can see is set by you. Territories can split the base by rule so ownership stays right as the list grows.

Is my data used to train AI models?

No. Each customer’s data is kept separate from every other workspace, and it is never used to train AI models. You can export it whenever you want.

What happens to an account when a rep leaves?

Nothing. The history sits on the account rather than in a personal inbox, so the next person picks it up with the full context and the customer does not have to start again.
